Job Detail (Expanded)

Working with the Estate team, the Associate (Estate) keeps the portfolio’s paperwork accurate and audit-ready. Day to day, you’ll update tenancy registers and trackers (renewal dates, rent escalations, arrears, security deposits), compile site files (maps/photos/NOCs), and prepare routine letters/notices for review. You’ll help schedule site visits, record observations (encroachments, signage, HSE observations, maintenance), and ensure evidence (photos, geo-tags, meter readings) is filed against the correct site/case number. Expect to coordinate with Finance on receivable status and with Legal on document sets for disputes or recoveries. Clear, consistent documentation is the heart of this role.


Eligibility & Skills

  • Education: Relevant bachelor’s degree (e.g., Estate/Business/Management/Law/Engineering or allied field) as specified in the official JD.
  • Experience: Typically 3+ years in estate/asset management support or a related corporate/SOE environment; final criteria per the official JD.
  • Tools: MS Office (especially Excel for trackers and Word for letters/minutes); comfort with basic maps/geo-tagging/photo documentation is a plus.
  • Core Competencies:
    • Lease/licence file upkeep, notices, and correspondence

Responsibilities

  • Registers & Trackers: Maintain tenancy records, key dates (renewals/escalations), rent/arrears status, and security deposit logs with version control.
  • Documentation: Draft routine letters/notices, assemble case files with approvals, maps, and photos; ensure filing aligns with SOPs.
  • Field Support: Schedule/assist site visits; log encroachment indicators, signage compliance, safety observations, and maintenance needs.
  • Collections Support: Coordinate with Finance to reconcile invoices vs. receipts; prepare arrears summaries for action.
  • Coordination: Liaise with tenants professionally; follow up with utilities/authorities for permissions or clarifications.
  • Reporting: Prepare weekly/monthly snapshots on occupancy, collections, site issues, and pending actions for managerial review.
  • Audit Readiness: Keep physical/digital files complete, searchable, and ready for internal/external review.
  • Other duties assigned by management to safeguard and improve estate value.
